EASy© Features - summary
Sales Enquiries and Valuations
· Create your documentation automatically as soon as you are requested to carry out a valuation.
Brochures
· Brochures are generated automatically using the recorded data (bedrooms, heating etc) from a pre-defined template. Brochures can be emailed or printed and sent to potential clients easily from within the program at any time. We set up your brochure on your system.
Viewings
· ‘Key and Accompanied’ viewings are recorded against the diary for any member of staff; again the Outlook diary is updated to keep track of who is looking after each client.
· Viewers history log, Follow up function and property ‘client observation record’ function.
Offers
· Letters to the vendor are prepared for each offer.
· Auto SMS text on latest offer for all bidders if desired.
Accounts
· An account is opened and maintained for each vendor in the Resales module: this is also the case for Developers on the New Developments module.

· A comprehensive ‘New Developments’ module facilitates the entry of details of new building developments quickly and easily, into the system.
Solicitors

Record sales enquiries – “I want you to value my house”
- Put an appointment in the diary with basic vendor details (Name, address, and contact no.) and name of valuer; at this stage letters can be created which inform the potential vendor of your terms and conditions). The diary can also be used for any other appointments and meetings; you have a centralised diary for the whole office. The diary appointments will flash up on screen ½ an hour (can be adjusted) before the appointment – even if you do not have the EASy© program running!
On the day of valuation it will:
- Print a copy of a blank inspection sheet
When the vendor agrees the property for you to sell it will:
- Register the property onto your books as ‘available for sale’. This action involves a number of processes:
- Update the property details with the inspection report
- During the registration process the Mail List is scanned for possible clients and an instant mail shot is created. You are prompted to confirm the sending of the mail shot either by Email, letter or SMS text. see Mail Lists
- The registration fee is applied (where applicable) and an invoice prepared for printing – either now or later.
- The vendor can be added to the mail list if required
- Registration letters are prepared and can be printed now and/or later
Brochures and Newsletter / Property List
Property brochures can now be created.
- Brochures are generated automatically using the recorded data (bedrooms, heating etc) from a pre-defined template created in Microsoft Word. You can also add your own title, narrative and bullet points into the program – these are also inserted into the brochure for you. All you need to do then is insert your photograph(s). You can make any additional changes as required.
- Brochures can be emailed or printed and sent to potential clients easily from within the program at any time.
- If you already have a web site, you can use the ‘upload’ feature to create a brochure, which will be delivered to your site, ready in the right format.
- Your Property list can be created in a matter of seconds from the tools menu on the system.
Viewings:
- New viewings are recorded against each property
- Viewers can be added to the mail list
- Instant mail shots can be sent to one-off enquiries either by email, SMS or by postal correspondence
- A follow-up contact flag is generated to inform you as to which viewers need to be contacted after the viewing
- ‘Key and Accompanied’ viewings are recorded against the diary for any member of staff.
- You can turn a viewing into an Offer against a property with a single button-click.
Offers:
As offers come in they are recorded against each property
- Letters to the vendor are prepared for each offer
- Offers can be increased by a single click – no need to duplicate details
- As an offer is accepted letters of contract are prepared for printing and despatch to the vendor, the purchaser and their respective solicitors together with any relevant details such as additional requirements (carpet, curtains, fittings etc)
- In the case of an accepted offer falling through the ‘disagreed’ letters are again prepared for the respective solicitors.
Accounts:
An account is kept for each vendor:
- Additional advertising costs can be entered
- Any other cost, for example signs, can be entered
- An invoice is prepared for the registration fee (where applicable)
- An invoice is prepared for the total amount. Invoices can be printed at any time.
Mail List:
The mail list can be as simple or as complex as required. You may have client who simply requires something between 150,000 and 255,000, or you may have someone who is looking for a property with 5 bedrooms, in the country, which requires renovation, has some stables and a bit of land to boot. The mail list is designed to cope with all scenarios
With the mail list you can:
- Quickly set up new clients – each time a vendor, viewer or someone bidding on a property is entered into the system you can elect to have them automatically transferred onto the mail list (if you do they are held as ‘inactive’ on the mail list until you set their exact requirements for them)
- Mail list clients can specify their preferred means of contact
- By email (best option for you)
- By post
- By SMS message

New Developments
A comprehensive ‘New Developments’ module allows you to enter details of all your developments, quickly and easily, into the system:
- Incorporate PC sums and suppliers for kitchens, bathrooms and fireplaces and Tiles
- Use the scan feature to scan in site plans, development layouts etc to print off to clients
- Add different site types to each development
- Update the Releases as each phase is released
- Book sites either provisional or firm bookings
- As a site is booked the contract letters are prepared for printing to the developer, the purchaser and their respective solicitors
- As the site is booked an account is maintained for the developer
- If a site is subsequently ‘disagreed’ then the system will prepare and print the correspondence to the builder and purchaser solicitors.
- New Development Mail List
Developer
A list of developers can be entered into the system via a simple screen. A folder in your Outlook diary is created for you (called Developers) and a Contact is created for each developer. This assists quick and easy entry of new developments into the system.
Solicitors
A list of solicitors can be entered into the system via a simple screen. A folder in your Outlook diary is created for you (called Solicitors) and a Contact is created for each solicitor.
This allows you to allocate solicitors to vendors, developers and purchasers as required and this information is used when compiling the contract letters (agreed and disagreed).
Additional Features:
- A combined search and action facility enables you to get to the properties you need to access quickly – No need to keep people hanging on the telephone whilst you look for folders in cabinets or on other people’s desks! – Once located a Flash-Box is popped up and this lists all the relevant information – Sale status, highest bid, number of offers, property details (number of beds, location) etc – and instantly do any of the following:
- Send a brochure via email
- Send SMS alert
- Send a brochure via post
- Book a viewing
- Take an offer
- Record those clients who have a house to sell or require a mortgage and in the ‘reports section’ generate a report daily allowing you to follow up on this added business.
- Secure Access – only authorised users can log-in and use the system
- All contact details and appointments can be exported to Outlook
- Activity Log – All transactions are continuously logged against each user.
- Built-in internet browser (broadband connection recommended)
- Key press – keeps track of where the keys are on your peg board
- Fully customisable correspondence letters. Should you move, or make any other changes to your business, you can make your own amendments to all your correspondence – no need to rely on someone else.
- Company and system ‘default’ settings:
- You might amend your registration fee periodically, this can be done at any time, as can:
- Your company name, address and contact details
- Your staff – add and update the users – Who is allowed to log-in to the system, who is to be included in the diary (for valuation and viewings)
- Set the mail shot to run either automatically or manually
- Set the ‘default’ postal town – to simplify and speed up the entry of addresses.
- Reporting. You can get to see how your business is performing in a number of ways, some examples of existing reports are:
- Viewings – how many today, on this property etc
- Offers – how many today, on this property etc
- Property Status – how many for sale and how long
- Registrations – how many new listings this month, week, year etc.
- Follow-Up Feature - lists all the viewings that have not been confirmed; when these have been confirmed and the viewing has taken place, the record transfers into the ‘viewings to be followed up’ list. Now these viewers can be contacted by e-mail, phone or a letter automatically printed off to each one from one simple screen.
- Generation of a property list at the touch of a button; the system can create a newsletter or property listing. It can be set to run only those properties added to the list since the last time the list was printed!
- Create a sheet of labels for contacting specific people in your client database; for those people being invited to certain meetings or for a list of people interested in a new development – take all the hard work and formatting out of the task.
Future Developments
Ongoing development now will bring some enhancements to the system. We will soon be introducing a Property Rentals package, which can be fully integrated into the existing system.
Hardware:
No hardware is supplied ‘as is’ however we are able to upgrade your hardware where this is necessary and supply all networking and software.
IT / Licence Restrictions:
There are no restrictions as to the IT setup in your office – EASy© has been designed to run as a standalone application on a laptop or workstation pc, or fully networked in a client/server environment. There are no restrictions on the number of users and no per user/seat licensing. The EASy© software licences are issued per site.
Additional Services:
In addition to the software development we also have a range of additional services provided to allow you one point of contact for all your I.T. requirements, if desired including,
- All forms of hardware; servers, P.C.’s, laptops, screens for window displays, cat5 cabling and sockets etc.
- Server configuration, office networking and remote access facility.
- Remote access software and security software (all configured by DMIS Ltd).
- Customer Logos and branding services.
- Web Site Consultancy – DMIS Ltd will create a website which integrates with the EASy© program, the website runs live with the program so that no manual intervention is required to update the property status;
When you register a property on the EASy© program and create a brochure, the brochure is automatically uploaded onto the website including photos (unless a box is unticked – for those clients who do not wish to have their properties widely advertised) and the property status is listed as ‘for sale’.
If an offer is recorded on the EASy© system, the program changes the status of the property on the website to ‘under offer’.
When the property is sale agreed and this is confirmed on the EASy© program, the website is automatically updated to reflect this and the status of the property now becomes ‘sale agreed’.
When the property transaction is completed – the system deletes the property listing from your website.
This happens within a few minutes of the changes being made in the office and potential clients viewing your website will be receiving up to date information.
